How to Update Your DNS Records for Evolved Office Email Delivery

Overview

To make sure your emails continue to be delivered smoothly and securely, we’re requesting all Evolved Office clients to complete a quick DNS update.

These new records are part of our November 2025 system conversion, which introduces an upgraded email broadcasting infrastructure and enhanced statistics tracking. As part of this change, a dedicated IP address and new DKIM signing will be assigned to your domain for improved deliverability and compliance.


Why This Update Is Needed

Starting in November 10, 2025, all email broadcasts from Evolved Office will be sent through the upgraded delivery system.
The new CNAME records will:

  • Point your domain to the updated host for SPF and DKIM authentication.
  • Retire the old subdomains (e.g., smna.eosendmailx.com).
  • Improve your domain reputation, security, and deliverability performance.

Completing this update ensures uninterrupted service during the transition and aligns your domain with modern email authentication standards.


DNS Records to Add

Please provide the following information to your IT team or the person responsible for managing your domain DNS settings.

Here are the details:

  1. Deliver Record
    Create a CNAME record
    Set Host Name to: delivery
    Set value to: eapi.sslworld.netcorecloud.net
     
  2. Domain Key Record
    Create a CNAME record
    Set Host Name to: nc2048._domainkey
    Set value to: dkim2048.world.netcorecloud.net

  


After the Update

Once these records are in place:

  • Notify our team at support@evolvedoffice.com so we can verify and run a test.
  • Your account will be aligned with the upgraded email platform.
  • Your Domain Warm-Up phase will begin automatically on November 10, 2025, or on your first broadcast date following that transition.

Domain Warm-Up

When a new domain is authenticated, it enters a warm-up phase.

  • Gradual Ramp-Up – Email sending volume starts small and increases daily.
  • Engagement is Key – Begin with your most engaged contacts. Good open and click rates speed up trust-building.
  • Full Sending Capacity – Typically reached within 3–4 weeks, assuming good engagement.

 

When the Warm-Up Starts

The warm-up phase officially begins on November 10, 2025, the date of our system conversion.

If you don’t send an email campaign on that exact date, your warm-up will automatically start on the day of your first send after November 10.

This ensures that every domain enters the warm-up process as soon as it starts using the new IP and DKIM authentication.

  • This is a gradual warmup approach where we start with 100 users on Day 1130 users on Day 2, and continue to incrementally increase the volume each day

Understanding the Email Warm-Up Process (After DNS Update)

Once your DNS records are updated and verified, your email warm-up process will begin automatically. This step is crucial to building your domain’s sending reputation and maintaining high inbox placement.

Fully Automated Warm-Up — No Manual Segmentation Needed

The warm-up process is 100% automated — you don’t need to manually segment your contact list or schedule separate sends.

Once warm-up begins, the system automatically queues, segments, and spaces out your broadcasts over multiple days to match the proper sending limits for your domain.

This means you can continue working as normal — simply create and schedule your campaigns, and the platform will manage delivery pacing in the background.

What This Automation Covers

This automation applies to both bulk email campaigns and Journeys (drip campaigns).
Evolved Office intelligently adjusts your sending volume and timing as part of the warm-up schedule, ensuring the best possible deliverability.

  • Bulk Campaigns: Schedule your newsletters or eSHOTs as usual. The system will automatically throttle delivery to comply with your daily warm-up limits.
  • Journeys: Any active or newly launched Journeys will continue sending automatically based on your configuration — no manual adjustments required.

Scheduling During Warm-Up

If you have upcoming campaigns planned, you can schedule them as normal. The system will:

  • Automatically manage delivery timing and daily limits
  • Gradually increase your sending volume as your domain reputation improves
  • Optimize delivery for the highest inbox placement

Important Notes
 

  • These changes do not affect your existing delivery history or domain reputation.
  • They are part of a one-time update to enhance reliability and performance.
  • Please complete the update before November to avoid any delay in email sends.
